How can healthcare providers access the My Health Record system?

Healthcare providers have two options available to access a patient’s My Health Record: the national provider portal (which allows them to view information only) or from their clinical information system (CIS) (which allows them to upload and/or view information). There are 50 CISs that are linked to the My Health Record system (please see register of conformity for more information). These different CISs are developed by a wide range of software organisations and each offer healthcare providers a unique interaction with the My Health Record system.

What information is available to healthcare providers?

Similar to individuals, healthcare providers can view either single documents or summary views that combine information from a range of sources in the My Health Record system. The table below summarises the types of documents that are within the My Health Record system.

The summary views in the My Health Record system that are available to healthcare providers are:

  • Health record overview,
  • Medicare overview (i.e. summary of Medicare information in the record) and
  • Medicines information (i.e. summary quickly sorts and displays medicines information held in a patient's My Health Record in date or alphabetical order). The medicines information view was introduced to the My Health Record system in June 2017.

The medicines information view has been a valuable addition for healthcare providers and showed a four-fold increase in views between its introduction in June 2017 and December 2017. In the same period, there was almost a three-fold increase in views of the Medicare overview. Figure 1 shows that:

  • In June 2017, the medicines view and Medicare overview both accounted for 45% of total summary views.
  • In December 2017, the medicines view accounted for almost two thirds of all summary views (57%) – seven months after it launched.
  • In both June and December 2017, the health record overview was the least used summary view (less than 10%).

What information are healthcare providers using?

There is large variation in the level of use of My Health Record between healthcare organisations. For example, in the first week of November 2017, the number of unique My Health Records accessed in organisations ranged from 1 to over 10,000. This large variation occurs because in some states the link from hospitals to the My Health Record system is recorded and managed as a single entity, and these locations may have many hundreds of clinicians using the record. However, the data suggests an increase in overall clinician use of the My Health Record system over the past year. In the first week of November 2017, healthcare organisations accessed 33 records on average, and just over 151,000 unique records in total. In contrast, a year earlier (i.e. end of the first week of November 2016), healthcare organisations accessed 25 records on average, and just over 98,000 unique records.

There is also significant variation between different types of healthcare organisations in their use of the My Health Record system. These differences are to be expected given the unique role that each plays in the care of patients. The documents that healthcare providers upload to My Health Record is directly related to the care they provide. For example, a discharge summary is unique to hospitals. The icons below summarise the average monthly uploads in December 2017 for general practices, hospitals and pharmacies.

The average monthly uploading activity of healthcare organisations has increased over time. The information below summarises the average monthly uploads in December 2016 for general practices, hospitals and pharmacies.

Consistent with clinical need, clinicians in different types of healthcare organisations view different types of documents within the My Health Record system. This is likely to continue to evolve as greater numbers of different document types are shared with the record from different settings, such as pathology and radiology results. The information below summarises the most commonly viewed documents for different healthcare organisations in December 2017.

Healthcare providers have access to a wide range of clinical information that covers a variety of care events. The information that healthcare providers add and view in My Health Record is specific to their role in patient care.
