Cancelling registration with the My Health Record system

When to cancel a My Health Record registration

A healthcare provider organisation may need to cancel its registration with the My Health Record system in some situations, such as when it:

  1. is closing its business or has ceased trading
  2. is no longer eligible for registration with the My Health Record system under section 43 of the Act, for example, because the organisation no longer has a Healthcare Provider Identifier – Organisation (HPI-O) or no longer employs a healthcare provider individual (a person who has a Healthcare Provider Identifier – Individual [HPI-I])
  3. no longer wishes to remain registered to use the My Health Record system.

How to cancel My Health Record registration

Healthcare provider organisations may cancel their registration with the My Health Record system using these options:

  • online via the Healthcare Provider Online Service (HPOS)
  • over the phone via the Healthcare Identifiers Service (HI Service) helpline.

Healthcare provider organisations should note that cancelling their registration with the My Health Record system is separate from cancelling their HPI-O. Cancelling an HPI-O will prevent the healthcare provider organisation from accessing other important services, such as electronic prescribing and secure messaging. This should only be done if, for example,  their business has closed.  

Cancelling My Health Record registration via the Healthcare Provider Online Service

For healthcare provider organisations that wish to cancel their My Health Record registration via the Healthcare Provider Online Service (HPOS), the responsible officer (RO) or organisation maintenance officer (OMO) should take these steps:

  1. Log on to HPOS using their individual PRODA account
  2. Select ‘My Programs’ then ‘Healthcare Identifiers and My Health Record’
  3. Select ‘My Health Record – Register Organisation’
  4. Select ‘Healthcare Organisation Registration’
  5. Select the organisation from the list
  6. Untick the registration box to cancel the My Health Record registration
  7. Save changes.

Cancelling My Health Record registration via the Healthcare Identifiers Service helpline

Alternatively, a healthcare provider organisation can call the HI Service Help Desk for help to cancel its My Health Record registration. The organisation’s RO or OMO should take these steps:

  1. Call the HI Service Help Desk on 1300 361 457
  2. Select Option 1: Healthcare professional or organisation enquiring about a Healthcare Identifier
  3. Ask the Help Desk operator to cancel the My Health Record registration, being careful to tell the operator if they wish to keep or cancel their HPI-O (see above).
